Early access How CrewLink works

CrewLink, from the first booking to the paid invoice.

One day plan behind everything: the booking page offers only reachable times, the board shows who'll be late before they are, the tech's phone moves the job and texts the customer, and done becomes an invoice with a pay link.

An example day on a map: every truck's route, played from 7:00 to 19:00.

01 Booking

Your booking page offers only what a truck can reach.

  1. Services you define. Each with its minutes on site, the people it needs and, if you want, a deposit.
  2. Addresses that geocode. Address search uses Mapbox, so the drive starts from a real point.
  3. Every time checked. 15-minute grid, nothing sooner than an hour out, each start checked against every qualified tech's day.
  4. Branches anywhere. Any number of branches, each with its own service area and trucks, on one board.
  5. Outside every area? The customer can send a request instead of being shown a time you can't keep.
  6. Your site or ours. Hosted page, an embed, or the public booking API on your own website.
Can customers book from our own website?

Yes. Link the hosted page, embed it, or build it in with the public booking API.

Does it handle crews of two or more?

Yes. A service that needs several people is offered only when all of them can make it.

What about multi-day installs?

A job can run over several days, and the crew's drive is still checked.

02 Dispatch

Month, week and day, plus a live board.

The schedule shows the load ahead in month and week views and every stop in the day view, with the drive drawn next to each job. The live board puts a status dot on every truck and an ETA on every next job.

Same-day emergencies

Finds a qualified tech who can still get there today, moving a flexible job if needed, or says plainly why no one can.

Moves that make sense

Moving a job offers only times that work. When the office tries one that doesn't, the message says why: time off, hours, skills or the drive.

Out-of-area work

Requests from outside your area land with the office, which accepts or declines them with the drive in front of it.

Several branches?

Any number, each with its own area and trucks, on one board.

What do the dot colours mean?

Green: at least 5 minutes early. Yellow: tight. Red: more than 10 minutes late. Grey: done for the day.

Where do ETAs come from?

The tech's position from the phone app and the drive at that hour. No vehicle GPS.

03 The tech app

The day, on the tech's phone.

  1. On my way. Texts the customer an ETA from the tech's position.
  2. Arrived. Starts the clock on site.
  3. The halfway check-in. On track, +15, +30 or +60. An extension re-plans the rest of the day right away.
  4. Done. Records the time on site, so the next booking of that service uses a better estimate.
  5. Photos, parts and notes go on the job. Taps made without signal are sent when it comes back.
04 Customer texts

The customer hears from you at every turn.

Sent automatically, in your company's name, to US and Canadian mobile numbers. When a job is handed to a teammate or moved, the customer is told then, not after the window has passed.

Does the customer need an app?

No. Texts with links to view, move or cancel.

Whose name is on the texts?

Yours. For CrewConnect work, the sender chooses.

Which numbers get texts?

US and Canadian mobile numbers.

05 Money

Deposits, invoices and pay links.

A service can take a card deposit at booking. After the job, the invoice lists the work and parts, takes off the deposit and goes to the customer with a pay link. For CrewConnect work, payouts between companies are recorded with their due dates.

Card payments run through Stripe. Payouts between companies are a ledger; the companies settle them directly. Payment fees are on the pricing page.

06 Reports

The numbers that run a board.

KPIs on the Reports page, CSV exports, a PDF report, and a weekly email every Monday with last week's headline numbers.

On time

Arrivals tapped no more than 15 minutes after the planned start, by tech, hour and service.

Load

Booked against working minutes, jobs and revenue at list price, by day, in the month and week views.

Exports and API

CSV exports and a PDF any time. A public API and signed webhooks for bookings, jobs, payments and CrewConnect.

Your week on CrewLink, step by step.

08 The brain In build

Being built: a plan that learns from the day.

A ledger of every day's plan against what happened, a road-network travel model calibrated with live traffic samples, and a simulator that tunes the scheduler per metro. Not live yet; we'll say so when it is.

10 Questions

Plain answers.

Does CrewLink replace my dispatcher?

No. It does the checking a dispatcher would otherwise do in their head: which truck can reach which time from the job before it, at that hour. Your office still owns the board. It sees the live status of every truck and steps in where a job needs a call.

Can customers book from my own website?

Yes. You can link to the hosted booking page, embed it, or build it into your own site with the public booking API. In every case the times offered are the same drive-checked times.

What does the tech need?

A phone with the CrewLink app. The day, the stages (on my way, arrived, done), the halfway check-in, photos, parts and notes are all there, and taps queue when there's no signal.

Which customer texts are sent?

Booking confirmation, a reminder 24 hours before, moved or cancelled, on the way with an ETA, the invoice with a pay link, and a review link 30 minutes after the job is done. Texts go to US and Canadian mobile numbers.

What is still being built?

The brain: a plan-vs-actual ledger for every day, a road-network travel model calibrated with live traffic samples, and a simulator that tunes the scheduler per metro. Everything else on this page is running in early access.
