Privacy policy

How information moves through CrewLink, CrewConnect and our website—and the choices you have.

The essentials

CrewLink LLC provides scheduling and coordination software. CrewConnect lets businesses coordinate shared work. A connection does not, by itself, expose every customer, job or private calendar entry. Information about a shared job is available according to the people, companies and permissions involved.

We also use website analytics, session recordings and advertising technologies. Those activities are separate from sharing a job with a contractor and are explained below. For questions or requests, email carson.cloud@crewlink.ai.

1. Who we are and what this covers

This policy describes how CrewLink LLC (“CrewLink,” “we,” “us”) handles personal information through crewlink.ai, our web and mobile applications, CrewConnect, booking and job-status pages, and our sales and support interactions. Personal information means information that identifies, relates to, or can reasonably be associated with a person or household.

Features and integrations vary by account, permissions, configuration and availability. Describing a data flow here does not mean every visitor uses that feature. This policy does not replace a customer's agreement with a homeowner, contractor or employee, or that business's own privacy notice.

2. Our role and your service business's role

For our website, sales contacts, account administration, subscription billing, security and our own analytics, CrewLink decides how information is used. For customer, worker and job information a business places in CrewLink, we generally process information to provide the service on that business's instructions. Applicable law may describe these roles as controller and processor, or business and service provider.

If you are a homeowner, worker or contractor, the business arranging your work may decide what information to enter, who can access it and how long its business records are needed. Contact that business about its records or employment practices. You can also contact us; we will help identify the appropriate organization and assist with requests within our role. Businesses using CrewLink are responsible for having authority to provide other people's information and for giving any required notices or obtaining permissions.

3. Information we collect

We receive information directly from you, from the businesses and people coordinating your work, from connected services you authorize, and automatically when a browser or device uses our services.

Account and business information
Names, email addresses, phone numbers, company and branch details, roles, invitations, trade, service area, plan, account identifiers, authentication records and preferences. Business profiles and connection details support finding and working with other companies.
Homeowners, sites and work
Customer contact details, service addresses, job descriptions, service durations, visits, appointments, availability, assigned workers, job status, revised timing, work notes, messages, photos and attachments that users provide. Records can include invoices, agreed terms, reviews and recurring work.
Location and travel
Service and base addresses, geocoded coordinates, travel estimates and observations. When a supported feature and device permission allow it, technician location fixes may include coordinates, timestamp, accuracy, heading and speed. See the location section for important limits.
Billing and transactions
Subscription choices, billing contacts, payment-provider identifiers, payment and invoice status, usage and related accounting records. Stripe processes subscription payment details through its payment interfaces; CrewLink's billing integration uses provider identifiers rather than collecting card details in an ordinary CrewLink form.
Communications
Information submitted in a call request, sales inquiry, support conversation or privacy request, including the content and contact details you choose to send. Website inquiries may include your services, territory, business needs and communication preferences.
Connected services
Calendar connection identifiers and authorization credentials, busy periods and synchronized events when calendar integration is enabled; information exchanged with authorized integrations and webhooks according to their permissions.
Device, browsing and usage
IP address, browser and device characteristics, URLs, referrer, campaign and advertising click identifiers, pages viewed, interactions, session and account identifiers, errors, performance data, approximate location and session recordings where enabled. Some activity can be connected to an identified account or company.

Please do not enter passwords, payment-card details, government identifiers, medical information or other sensitive information into job descriptions, attachments or support messages unless specifically required through an appropriate feature. Free-text fields and uploads can contain personal information even when a feature does not ask for it.

4. How we use information

  • Provide accounts, authentication, permissions, scheduling, dispatch, job tracking, customer booking and CrewConnect coordination.
  • Check service duration and travel around existing commitments, calculate availability, and communicate current progress and timing.
  • Manage subscriptions, usage, invoices, support requests, sales conversations and service communications.
  • Connect authorized businesses, workers and services, and maintain records of shared work and agreed terms.
  • Understand use, troubleshoot errors, improve usability and performance, and measure how website visits lead to inquiries or accounts.
  • Measure advertising and, where the advertising technology is used, support advertising audiences and personalization.
  • Protect accounts and the service, investigate misuse, resolve disputes, maintain business records and respond to legal obligations.

Scheduling uses information such as location, travel estimates, service duration, availability and existing commitments to calculate feasible times. It is operational scheduling assistance, not a guarantee of traffic or arrival time. If a result is wrong, ask the business responsible for the appointment to review the underlying information and schedule.

5. CrewConnect and shared-job visibility

When companies connect or share work, authorized participants may see the information needed to coordinate that work: relevant business and contact details, service location, appointment, scope, agreed terms, assigned resources where permitted, progress and updated timing. Homeowners and other job participants may receive access through a customer-facing page or a job link.

Sharing a job is different from sharing an entire business. CrewConnect's access controls distinguish shared work and bookable availability from unrelated customer records, private jobs and internal calendar details. Names and location visibility can also depend on roles and explicit access grants. Account administrators should review permissions and only share information appropriate for the work.

People who receive information may retain their own business records. Disconnecting a company or changing access does not necessarily remove information it previously received or records it must keep. Contractors and partner companies are responsible for their separate uses of information.

Treat customer, booking and job-access links as private. A person with a valid access link may be able to view its permitted information. Forward links only to the intended recipients and contact the responsible business if one is shared incorrectly.

6. Technician location and device permissions

Location-enabled features help coordinate travel, dispatch and arrival. The mobile implementation requests foreground location permission. Periodic location updates operate while the technician is on the clock and the app is in the foreground; specific actions can also request a current location. This is not a promise of continuous background tracking.

You can change device location permission in operating-system settings. Doing so can limit location-based functions. Service addresses, previously stored fixes and information entered by a business are separate from device permission and are not automatically removed when permission is turned off. Location access is subject to company roles and sharing grants; it is not automatically visible to every connected company.

Detailed location-history retention is configurable by the company from 7 to 365 days, with a 90-day default in the service. Older fixes are removed by a scheduled cleanup. This setting applies to that history, not to every job record, service address, billing record or backup.

7. Cookies, local storage and website tracking

Our website and applications use browser storage and similar technologies for functions such as preferences, sessions, analytics and acquisition attribution. For example, the website stores a theme preference, campaign context and first-touch attribution. Session storage normally lasts for the browser session; local storage can remain until cleared or replaced. Provider cookies and identifiers have their own lifetimes.

Website analytics through PostHog can record pageviews, clicks, interactions, errors, performance and session replays. Website visits and campaign information can be linked to a later signup or identified user and company. Referrers and campaign links may contain advertising identifiers or other URL information; avoid placing private information in a URL.

Our advertising setup includes Google Ads and, on selected marketing pages, Meta Pixel and LinkedIn Insight Tag. These providers can receive online identifiers, browser and device information, pages visited, referrer or campaign details and conversion signals. Depending on their settings and policies, they may combine this information with information from other services for measurement or advertising. This activity may qualify as “sharing” or a “sale” under some privacy laws even without a payment for the information.

The current website does not provide a sitewide cookie-consent banner or an automatic Global Privacy Control or Do Not Track response. Browser signals alone should not be assumed to switch these tags off. Use browser controls, provider choices and the request options below. This statement describes the present implementation; it does not waive any rights or obligations under applicable law.

8. Product analytics and session recordings

Product analytics can associate activity with a user ID and company, role, plan and business characteristics. Custom event collection is designed to avoid direct contact details, precise coordinates, raw job notes and payment amounts. This does not mean that all information collected throughout the service is anonymous.

Website replay is configured to mask inputs and specified lead-form areas. In the application, replay is limited to signed-in office experiences, with inputs and selected customer and financial text masked. Technician, mobile and customer-facing booking/status experiences are excluded from application replay in the current implementation. Customer-facing application analytics use an anonymous, memory-only configuration.

Masking reduces collection but is not a reason to enter sensitive information into arbitrary page content. Company administrators can contact us about disabling company-level product analytics. This is separate from marketing-website tags and is not a single control for every data use described in this policy.

9. Providers and other disclosures

We use providers for hosting, storage, payments, communications, analytics, customer relationships, maps and related operations. The information involved depends on the function. Examples in our service setup include:

  • Vercel and Amazon Web Services: website and application infrastructure and storage.
  • PostHog: analytics, errors, performance and configured session recordings.
  • Stripe: subscription billing and payment processing.
  • Close: sales inquiries, contacts and customer-relationship records.
  • Resend: service email delivery when configured.
  • Mapbox and OpenStreetMap-based services: address lookup, maps and travel-related functions, depending on configuration. Relevant addresses or coordinates may be sent to these services.
  • Google or Microsoft: calendar synchronization when you authorize an available integration; calendar data and credentials are handled for that integration's permitted functions.
  • Google Ads, Meta and LinkedIn: website advertising and measurement as explained above.

Authorized webhooks and integrations can send relevant records to a business's chosen destination. Review an integration before enabling it and revoke access when no longer needed. Third parties' own services and independent uses of information are subject to their policies.

We may also disclose information to professional advisers, to comply with applicable law or valid legal process, to investigate fraud or protect rights and safety, or in connection with a merger, financing, acquisition or transfer of business assets, subject to applicable protections. We may disclose information at your direction or with your consent.

10. Retention and deletion

Retention depends on the information and its purpose. Account and job records may be needed while a business uses the service and for its ongoing work, support and recordkeeping. Billing and transaction records may need to remain for accounting, tax, dispute or legal requirements. Security logs, analytics and communications have different operational needs. The location-history setting described above is a specific retention control, not a universal deletion deadline.

When assessing a deletion request, we consider the account and work involved, customer instructions, legal requirements, fraud prevention, unresolved claims and whether the information can be deleted or de-identified. Some information may remain in backups until their normal replacement cycle or in restricted records needed for a permitted purpose. Closing an account, uninstalling the app or clearing cookies does not automatically erase every server-side record or a partner's independent records.

Contact us for a request concerning your information or for retention details relevant to your account. We will explain applicable limits rather than promise a deletion date that does not apply to the record.

11. Your controls and requests

  • Account and business records: use available account controls or ask your administrator to correct information, review access or disconnect an integration.
  • Location, camera and notifications: use device permissions. Some functions will be limited when permissions are disabled.
  • Browser storage: block or clear cookies and site storage in your browser. This may reset preferences or sessions and may need to be repeated across devices.
  • Advertising: review Google's ad controls, Meta's ad preferences and LinkedIn's advertising settings. These are third-party controls and do not necessarily stop every form of collection.
  • Marketing messages: use an available unsubscribe link or contact us. Necessary account, security, billing and requested service communications may continue.
  • Privacy requests: email carson.cloud@crewlink.ai with your request and the email or company associated with the information. You can request access, correction or deletion, or raise an objection or an advertising/sale/sharing opt-out request.

Do not send a password or a complete identity document with your initial request. We may ask for proportionate information to verify your identity and authority where needed, and may need to involve the business controlling the record. An authorized agent can contact us and provide evidence of authorization where applicable. Requests are handled subject to applicable law, exceptions and response periods. If we cannot fulfill a request, we will explain the reason and applicable next steps.

12. Additional regional rights

Depending on where you live and whether the law applies, you may have rights to know or access information, obtain a portable copy, correct or delete it, opt out of sale, sharing or targeted advertising, limit certain sensitive-information uses, and appeal a denied request. You may exercise applicable rights without unlawful discrimination. California rights can include requests about categories, sources, purposes and recipients of information. Sections 3–10 describe those practices; advertising-related disclosures can involve identifiers and internet activity. Precise location and account-access information can be sensitive personal information.

To request an opt-out or appeal, email the privacy contact and describe your request; include “Privacy appeal” for an appeal. Where a law requires an automated preference-signal response, that obligation is not removed by the implementation limits described above.

Where European, UK or similar data-protection law applies, additional rights can include restriction, objection, portability and withdrawal of consent, and a complaint to a supervisory authority. Processing may rely on providing a requested contract, legal obligations, legitimate interests in operating and securing the service or measuring and improving it, or consent where required. Withdrawing consent does not undo earlier lawful processing. Contact us about the basis relevant to a particular use.

13. International processing

CrewLink uses infrastructure and providers in the United States, and information may be accessed or processed in other countries where providers operate. Laws and protections can differ from those where you live. Where a transfer is subject to legal safeguards, the applicable arrangements depend on the service, provider and customer agreement. Contact us for details relevant to your account. This policy does not claim certification under a privacy framework or that every record remains in one country.

14. Security

We use measures intended to protect information, including authenticated access, company and role-based permissions, protected transport, and controls for sensitive integration credentials. Access to information is limited according to service and operational needs. No system, transmission or storage method can be guaranteed completely secure.

Keep account access and job links secure, review company memberships and permissions, and promptly report suspected unauthorized access to our privacy contact. We will assess incidents and provide notices where required. Please do not email credentials or exploit details containing another person's private information.

15. Children

CrewLink is intended for business users and people arranging services, not for children under 13. We do not knowingly solicit personal information from children under 13. If you believe a child has provided information, contact us so we can investigate and take appropriate steps. Account holders should not add information about children that is unnecessary to the service.

16. Changes to this policy

We may update this policy as features, providers, practices or legal requirements change. The effective and updated dates appear at the top. We will provide additional notice or seek consent when required for a material change. An update to this policy does not itself change your device permissions or automatically enable a feature.

17. Contact CrewLink LLC

For privacy questions, requests, appeals or security concerns, contact CrewLink LLC at carson.cloud@crewlink.ai. Describe the service, company or interaction involved so we can direct your request appropriately. If you need a postal correspondence address or another accessible way to make a request, ask us through this contact.
